Technology Request Process

Getting Started

There’s now an easier way for 4J employees to request new apps, software and hardware and consult with the Technology Department on new initiatives using technology.

Employees must complete and submit the new online form outlining their needs to technology staff. Use the form to request new apps or software, new hardware or support the early planning stages of a project, among other things. Each request will be routed to the appropriate technology staff member for review and responsive follow-up.

Consultation with technology staff is required for many reasons, including connecting any device to the 4J network, purchasing a subscription that requires an employee’s 4J username to login, and installing software or apps on any district-owned device.

The new process protects 4J against growing cybersecurity threats, ensures compliance with federal student data privacy laws, and aligns technology purchases with student learning and safety, to name just a few reasons. The interim superintendent and district’s executive leadership team has reviewed and approved the process.

  • Ensure compliance with student data privacy laws (COPPA, FERPA, etc.)
  • Align technology purchases with educational goals and student safety
  • Protect our network, systems, and sensitive information
  • Ensure safety for student and staff 
  • Stretch our budget during lean times and use taxpayer funds and grant dollars responsibly and transparently

Please note: This form is not for reporting repair or break/fix issues. Those requests should continue to be submitted through the Helpdesk ticket system.

  • Orders of 15 or more of the same item from our approved technology list, or purchases over $750
  • Project support or thought partnership during early planning stages
  • Other support or resources from the Technology Department

FAQ

 

    • When might other departments need to be involved?:  Facilities may be asked to get involved if the request involves adjusting facilities or grounds of a school/building
    • Who has to pay for these requests?  Usually the school/facility has to pay for these enhancements
    • What might cause a rejection of a request?  Many factors could cause a project to be rejected, but a couple key ones include an unclear objective/goal as well as budget constraints.
    • What can I do to speed up this process?  Stay involved in the process.  Undoubtedly there will be clarifying questions and information requests from IT.   Generally the quicker and more completely these are responded to the quicker the project can proceed.
