Data Warehouse Instructions for Administrators
A. To Get the Dashboard:
- Open browser – Firefox is the best choice on Macs. (Safari no longer works with the warehouse.)
- Go to the 4J home page www.4j.lane.edu and click on Data Warehouse under "For Staff"
- Enter email username (without @4j.lane.edu) and password. Click Login.

Troubleshooting Tips – If you are having trouble logging in, call Brent Gee (-3139, dw@4j.lane.edu) to make sure you have access. If the dashboard does not display properly, try turning off popup blocking on your browser (Firefox > Preferences > Content > uncheck Block Popup Windows.)

B. To Get 4J Reading or Math Assessment Student Reports:
- Set the filters on the dashboard for the grade you want to see.
- Click on any bar on the Reading Kit "metric" or Math Testing "metric" (each box on the page is called a "metric"). NOTE: you will get the same report no matter where you click on the metric.
- The first page will display the scores of student(s) who will likely have the most need for intervention. To change pages on the report, click the arrow keys on the report menubar. Each page will have from one to three students on it. You can navigate to the first, previous, next or last page with the arrows. Three years of data will be displayed for students who have been tested in 4J for the last three years.
- To print the report, click the small printer icon on the report menubar. On the window that appears, if you want to print all student scores, click "All" and then "OK" – which is to the left of the "Cancel" button (an unusual arrangement).
- This is what is called a "Crystal Report" and though the data can be exported to an Excel spreadsheet, it will need extensive reformatting. For instructions in exporting, see Section G below.
- To go back to the dashboard, close the window.
C. To Get Disaggregated OSAT Data:
- Click any bar on the OSAT Passing metric (bottom middle of the dashboard.) If clicking on the bars doesn't work try the spaces between the bars.
- Notice that the data on the left is for the school and grades you've designated in the filter and the graphs on the right are district data for comparison. You will see passing rates by ethnicity, gender, ELL, SPED and SES status for the group you filtered on.
- To go back to the Dashboard, click the word "Home" on the "Navigation Tree" in the left window- rather than the back button on the browser.
D. To Get OSAT Student Report:
- Set the filters for the grade you want to see. The report will be sorted on the subject you choose.
- Click on any bar on the disaggregated OSAT report (see Section D).
- To change pages on the report, click the arrow keys on the report menubar.
- To print the report, click the small printer icon on the report menubar. On the window that appears, if you want to print all student scores, click "All" and then "OK" – which is to the left of the "Cancel" button.
- To go back to the disaggregated OSAT report, close the window.
E. To Log Off the Dashboard:
- Click the logoff icon on the right side of the dashboard menubar.
- Click "Yes".
- Close the login window.
F. Advanced Instructions:
- Copy and paste metric data into Excel:
- If you are using a Macintosh computer, this will only work if the Data Warehouse session you are logged into is in Firefox.
- Click on the "Student Detail" tool (icon of two students).
- Choose Select All from the Edit menu.
- Choose Copy from the Edit menu.
- Open a new blank spreadsheet in Excel or Appleworks.
- Choose Paste from the Edit menu.
- Export Crystal Report data into Excel:

- PLEASE NOTE: Extensive reformatting will be necessary to allow sorting and filtering that is meaningful. We are working on reports that will export to Excel in a form that will not require you to reformat the data.
- Filter your report for the school and grade desired.
- If you want OSAT data, choose the subject you want to sort scores by.
- "Drill down" to the Crystal Report (color coded on individual students) for IST, GR, OSAT Passing or 4J Assessments.
- Click on the "Export this Report" button on the far left of the toolbar.
- Select "Microsoft Excel 97-2000 – Data Only XLS" from the pulldown menu.
- If nothing happens turn off popup blocking (Firefox>Preferences>Content> uncheck Block Popup Windows) and try again.
- Open the file in Excel from the Download Manager or find the file named "........Scores3yrHistory.xls" and open it.
